1. Introduction

Thank you for choosing Harriet Travel Agency for your travel needs. Please take a moment to familiarize yourself with our booking terms and conditions.

These terms apply to bookings made through our consultants (in-store, by phone, or email) as well as online bookings on our websites. By accepting these terms and receiving a confirmation invoice from us, you agree to be bound by these terms, which will become effective immediately.

We recommend retaining a copy of these terms for your reference.

In these terms, references to “Harriet Travel Agency,” “us,” “we,” or “our” indicate Harriet Travel Agency (Pty) Ltd, registration number 2015/168753/07, including our associated brands: Harriet Travel Agency Independents, Corporate Traveller, Harriet Travel Agency Holidays, Homegrown Holidays, and Travel Expo.

2. Understanding Your Contract

When booking travel through us, you enter into two agreements: this agreement between you and us, and an agreement with the specific provider of your travel service (the third-party service provider). These providers may include airlines, hotels, car hire companies, cruise lines, visa suppliers, and others. Each has its own terms and conditions applicable to your booking.

3. Third-Party Agreements

By accepting these booking terms, you also accept and agree to be bound by the third-party service provider agreement. In the event of any inconsistency, the third-party provider’s terms will prevail. Your specific provider will be identified on your travel documents, and their terms will be available upon request.

4. Booking on Behalf of Others

If you make a booking on behalf of other travelers, you confirm that you are authorized to act on their behalf and that all travelers are bound by these terms and the applicable third-party agreements.

5. Agency Relationship

When you book with us, you acknowledge that we act as an agent for third-party service providers. These providers are solely responsible for providing the travel services you have booked. We are not liable for damages, losses, or incidents resulting from their performance or failure to perform.

6. Insolvency or External Administration

If a third-party service provider becomes insolvent or undergoes external administration, we have no obligation to reimburse you for costs or damages except as provided under South African Consumer Law.

7. Prices and Payment

All prices are subject to availability and may change without notice. The correct price will be confirmed at the time of payment. We are not bound by misquotes or errors. Full payment secures your booking, and we will not proceed until payment reflects in our account.

8. Payment Methods and Service Fees

We accept cash, credit/debit cards, secure online payments, EFT (not for online bookings), approved corporate credit facilities, and Harriet Travel Agency gift cards. Service fees apply and vary depending on the booking. These fees are non-refundable in case of cancellations or amendments.

9. Communication and Cyber Security

We communicate through your provided email. Please maintain cyber security to prevent fraud. Contact us immediately if anything seems suspicious or you receive duplicate invoices. We are not liable for cyber breaches, and you remain responsible for your payments.

10. Frequent Flyer

Provide your frequent flyer details during booking. We cannot guarantee point accruals or upgrades, as these are governed by third-party service provider policies.

11. Travel Documents

Travel documents include airline tickets, hotel vouchers, tour vouchers, etc. Ensure your name matches your ID/passport. You are responsible for verifying all details and informing us of any errors immediately. We will send your travel documents electronically before departure.

12. Confirming Travel and Schedule Changes

To confirm travel times, we recommend completing online check-in, downloading the relevant mobile app, and enabling notifications.

13. Cancellations or Changes

Cancellations or changes must be notified in writing before departure. Some bookings may be non-refundable. You are responsible for penalties per the third-party provider’s policy. Refunds, if any, will be made to the original payer using the same payment method.

14. Refunds

Refunds follow third-party provider policies. Corporate clients’ unused tickets will be tracked and refunded minus administration fees. Refunds are issued via the original payment method.

15. Impossibility of Performance

In cases beyond reasonable control, such as natural disasters or government actions, travel may need to be canceled. We are not liable for circumstances making travel impossible.
